Software Maintenance and Support: What It Costs and Why You Need It

In short: software isn't "done and forgotten". Its environment keeps changing (security updates, new browsers, integrated systems), so without maintenance it slows down, becomes vulnerable and breaks over time. Maintenance typically costs 10–20% of the annual development cost.
Many companies think that once they've paid for a system there are no further costs. That's like never taking a car to a service.
What does maintenance include?
- Security and framework updates: keeping components current.
- Monitoring and alerts: noticing errors before the customer reports them. I wrote about the DevOps mindset here.
- Backups and recovery: regular backups and testing restores.
- Bug fixing: handling defects that appear in operation.
- Performance oversight: spotting and handling slowdowns.
- Small changes and improvements: following changing business needs.
- Support: answering users' questions.
Why is it not optional?
- Security. Skipped updates are the most common attack surface. You can read about security basics here.
- Stability. External systems (APIs, services) change and integrations can break.
- Cost control. Small, continuous upkeep is cheaper than a big repair of a neglected system. That way technical debt doesn't pile up.
- Keeping knowledge. Someone who works with the system regularly knows it and reacts fast.
What does it cost?
General guideline: 10–20% of the annual development cost. For example, maintaining a €15,000 system is roughly €1,500–3,000 a year. The exact amount depends on the system's complexity, the expected response time and the level of support.
What plans exist?
- Basic: updates, backups, monitoring, bug fixing.
- Extended: plus small changes and a monthly development time allowance.
- On demand: no monthly fee, hourly support on request. Cheaper, but no proactive oversight or guaranteed response time.
What should you ask before signing a maintenance agreement?
- What counts as bug fixing and what as new development?
- What is the response time for a defect?
- Who does the monitoring and how will I learn about errors?
- What happens if the contact person is unavailable?
- Who owns the access and documentation? I wrote about contract aspects here.
What if I already have a neglected system?
The first step is a system audit: we assess the condition, stabilize, and then regular maintenance can begin. I wrote about legacy systems here.

FAQ
Why does finished software need maintenance?
Because its environment keeps changing: security updates, new browsers, external systems. Without maintenance the system slows down, becomes vulnerable and breaks over time.
How much does software maintenance cost?
Typically 10–20% of the annual development cost. For example, maintaining a €15,000 system is roughly €1,500–3,000 a year.
